Staff attendance without a biometric machine: how QR attendance works

Why schools are moving staff attendance from fingerprint machines to QR codes and phones, how it works day to day, and what to watch for.

Fingerprint machines were the standard answer to staff attendance for years. Many schools still have one on the wall by the office — and many of those machines are switched off, waiting for a repair, or kept going with a register beside them “just in case”.

There is a simpler way that uses what every school already has: a phone in every teacher’s pocket.

How QR attendance works

  1. A tablet at the gate shows a QR code. The code changes every few seconds, so a photo of it taken yesterday — or forwarded on WhatsApp — is useless.
  2. Staff scan it with their phone as they come in, and again as they leave. The time is recorded against their name.
  3. Or the other way round: staff show a pass on their own phone, and the gate tablet scans it.
  4. The office sees the day as it happens — who is in, who is late, who hasn’t arrived — without waiting for a machine’s data to be downloaded.

Why schools are switching

  • Nothing to repair. A tablet is cheap to replace; a fingerprint reader usually needs its own technician.
  • No queue at the gate. Scanning takes a second, and several people can do it at once.
  • Works for everyone. Fingerprints fail for staff with worn or dry fingers; a QR code doesn’t care.
  • Shifts and late marks come built in. The time someone came in is compared with their shift, so late marks and early leaving are worked out, not argued about.

What to watch for

Someone scanning for a colleague. A changing code makes it much harder, but not impossible for two people standing together. Most schools find that a visible record — everyone can see their own times — and a principal who looks at it is enough.

The internet going down. A good gate app keeps working offline and sends the scans when the connection returns, with the time they actually happened.

Forgotten scans. Everyone forgets once in a while. Give staff a way to ask for a correction, and someone to approve it, rather than editing the record quietly.

Tying it to payroll

Attendance is only half the job. The other half is what it means for pay: half days, loss of pay, and how many late marks count as a half day under your rules. When attendance and payroll share one record, the month-end calculation is done, not re-typed.
