These terms are the agreement between CampusMonkey (“CampusMonkey”, “we”) and the school or organisation that uses CampusMonkey (“the school”, “you”). By using CampusMonkey you accept them on the school’s behalf, and confirm you are allowed to. A signed order or invoice may add details — such as the plan, the number of students and the period — and where it does, it applies alongside these terms.
1. The service
CampusMonkey is software for running a school, used over the internet: records of students, families and staff, fees and payments, attendance, exams and report cards, payroll and the other parts included in the school’s plan. What each plan includes is shown on our pricing page. We improve CampusMonkey over time; we won’t take away a part of the school’s plan during a period it has paid for.
2. Accounts and the school’s responsibilities
- The school decides who gets an account and what each person can see and do, and keeps its own sign-in details safe.
- The school is responsible for the data it puts into CampusMonkey: that it is accurate, that it has the right to keep it, and that it has any consent the law requires — including from parents and guardians for their children’s data.
- The school must not use CampusMonkey to break the law, to send messages people haven’t agreed to receive, or to try to get into data that isn’t its own.
3. Trials
A free trial lasts for the period we agree with the school. When it ends, the school can see its data but cannot make changes until it chooses a plan. We may extend a trial on request.
4. Fees and payment
- Fees are charged per student per month, at the plan’s price for the length the school chooses — month to month, or one, two or three years — as shown on the school’s invoice. Each period is billed in advance, and renews for the same length at the plan’s price for that length unless the school chooses another before its next invoice. GST is added where it applies.
- Invoices are due by the date on them. The school can pay online, by bank transfer, by UPI or by cheque. Tax deducted at source is accepted against an invoice once the school sends the certificate.
- SMS and WhatsApp messages are sent from prepaid credits.
- If an invoice stays unpaid after its due date, we remind the school, and after the period stated in our reminders CampusMonkey becomes read-only — everything can be seen, nothing changed — until it is paid. If it remains unpaid we may suspend the service after giving notice. Parents can still pay their fees to the school while it is read-only.
5. The school’s data
- The data the school puts into CampusMonkey belongs to the school. We use it only to provide CampusMonkey, as described in our privacy policy.
- The school can ask for a complete copy of its data at any time, and we will provide it as spreadsheet files.
- When the school stops using CampusMonkey, we keep its data for 90 days so it can take a copy, and then delete it, except anything the law requires us to keep.
6. Support and our access
We help schools by phone, email and messaging during our working hours. To solve a problem, our staff may sign in to the school’s account — only with a stated reason, for a limited time, visibly to the school, and recorded in its audit trail. The school can switch this off in its settings.
7. Availability
We work to keep CampusMonkey available at all times and tell schools in advance about planned maintenance, inside the app. We cannot promise it will never be interrupted, for example by failures of networks or providers outside our control.
8. Liability
We are not liable for indirect or consequential losses, or for losses caused by the school’s own actions or data. Our total liability in any year is limited to the fees the school paid us for CampusMonkey in the twelve months before the claim. Nothing in these terms limits liability that the law does not allow to be limited.
9. Ending the service
The school may stop at the end of any paid period by telling us. We may end the service if the school seriously breaks these terms and does not put it right within 30 days of our notice. Refunds are covered in our refunds and cancellation policy.
10. Changes to these terms
We may update these terms. We will tell schools about significant changes at least 30 days before they take effect; continuing to use CampusMonkey after that means accepting them.
11. Law and disputes
These terms are governed by the laws of India. We will first try to settle any dispute by talking.
