This policy explains how CampusMonkey (“CampusMonkey”, “we”) handles personal data. It is written for two groups of people: those who visit this website or ask us about CampusMonkey, and the schools — and their staff, students and families — whose information is kept in CampusMonkey. It follows India’s Digital Personal Data Protection Act, 2023.
Two different roles
- Website and enquiries. When you visit this site or send us an enquiry, we decide why and how your data is used. We are responsible for it.
- School data in CampusMonkey. When a school keeps records in CampusMonkey — its students, parents, staff, fees and attendance — the school decides why and how that data is used, and is responsible for it. We process it only to run CampusMonkey for the school, on its instructions. Questions about that data should go first to the school.
What we collect from this website
- What you send us in the enquiry form: your name, role, mobile number, email, school, city and state, the number of students, and your message.
- How you reached us: the page you were on, the site that linked to us, and any campaign tags in the link.
- Technical records our servers keep for security: your IP address, browser and the time of each request.
This website does not set advertising or tracking cookies. If that ever changes, this policy will say so first.
How we use it
- To answer your enquiry, arrange a demo, and follow up about CampusMonkey.
- To keep this website and our services secure, and to stop spam.
We do not sell personal data, and we do not use it for advertising by others.
School data we process
Schools use CampusMonkey to keep records of students, parents and guardians, and staff — for example names, contact details, classes, attendance, marks, fees and payments, health notes a school chooses to record, and staff pay details. Much of this is about children. We use it only to provide CampusMonkey to the school: we do not track children’s behaviour for advertising or target them with advertising. Obtaining consent from parents and guardians, where the law requires it, is the school’s responsibility as the one deciding how the data is used; we give schools the tools to keep records accurate and to take data out.
The CampusMonkey parents’ app
Parents use the CampusMonkey app (on Android, iPhone and the web) to follow their children at school. The school decides who can use it, for its own families.
- Signing in: your mobile number, which must be one the school has for you, and a one-time code we send to it by SMS.
- Alerts: if you allow them, your phone’s notification token, so we can send you the school’s notices and alerts. Nothing else about your phone is collected.
- What you see: your children’s records the school keeps — attendance, fees and receipts, marks, notices and the like. The app shows them; it doesn’t add to them, beyond things you send the school yourself, such as a leave note or a fee payment.
- Payments are made through the school’s payment gateway; the app never sees or stores card or bank details.
The app has no advertising, and no tracking or analytics from others. It is not meant for children to use themselves.
Deleting your app account. In the app, open More → Delete my app account, or write to privacy@campusmonkey.in from the number’s owner. Your sign-in, name, number and alert tokens are removed from the app at once. Your children’s records stay with the school, because they are the school’s records; ask the school about those. See deleting your account.
Who we share it with
Only with service providers who help us run CampusMonkey — hosting, email and message delivery (such as SMS and WhatsApp providers a school uses), and payment gateways that process fee payments — under contracts that let them use the data only for that purpose. We share data with authorities only when the law requires it.
How we protect it
- Each school’s data is kept apart from every other school’s, and the separation is checked by the database itself.
- Identity numbers such as Aadhaar are stored encrypted, and passwords are stored only as secure one-way hashes.
- Schools control who can see what, can limit sign-in to office hours, and have an audit trail of every change.
- Our own staff can sign in to a school only to help it, with a stated reason and for a limited time, visibly to the school — and a school can switch that off.
How long we keep it
- Enquiries: for as long as we are in touch about CampusMonkey, and no longer than 24 months after our last contact, unless you become a customer.
- School data: for as long as the school uses CampusMonkey. When a school leaves, we give it a copy of its data on request, and then delete it within the period set out in our terms, except where the law requires us to keep something longer (such as our own invoices).
Your rights
You can ask us what personal data we hold about you, have it corrected or completed, have it erased where we no longer need it, and have a grievance addressed. You can also nominate someone to exercise these rights for you. For data a school keeps about you or your child, please ask the school first; we will help the school respond.
Write to privacy@campusmonkey.in. We will reply within 30 days. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.
Changes to this policy
When we change this policy, we update the date at the top. If a change is significant, we tell the schools that use CampusMonkey before it takes effect.
